Track & close

After release, the coordinator monitors action item progress and closes the ECO when all departments have completed their work.

The ECO’s Action List tab shows all actions grouped by department. Each action item has a status:

StatusMeaning
OpenNot yet started
AcknowledgedAssignee has seen the action
In progressWork underway
DoneCompleted
SkippedNot applicable — coordinator decided to skip
BlockedCannot proceed — needs escalation

Department users update their action status directly. They can do this in two ways:

  • In Redline — update the status dropdown on the Tasks page
  • By email — click the one-click response button in the N1 notification email (no login required, token-based authentication)

Department users see their open action items on the Tasks page. Coordinators can view all tasks across all departments on the All Tasks page with filters for:

  • Department
  • Status
  • Priority
  • Assignee
  • Due date

The sidebar shows a badge with the count of open tasks for the current user.

Redline automatically follows up on incomplete actions:

TierTriggerWho is notified
N1 — ReleaseECO releasedDepartment assignees
N2 — ReminderAction still open after configurable delay (default: 48 hours)Same assignees
N3 — Escalation L2Action still open after escalation_level2_daysCoordinator + department head
N3 — Escalation L3Action still open after escalation_level3_daysOperations director

Thresholds are configurable per tenant in Settings.

If verification_step_required is enabled in your tenant settings, the coordinator must verify the ECO before closing. This is a confirmation that the change was implemented correctly in the physical product and ERP system.

When all action items are in a terminal state (done, skipped, or blocked) and verification is complete (if required):

1
Click Close ECO
Redline validates that all actions are complete.
2
BOM effectivity is applied
Redline updates ERP BOM lines: removed items get an effective_to date (phase-out), added items get an effective_from date (phase-in), revised and quantity-changed items close the old line and open a new one.
3
EC is auto-archived
The parent Engineering Change is moved to Archived status. The full audit trail is preserved.

Every status change, action item update, notification sent, and decision is recorded in the ECO’s History tab. This includes:

  • Release and close timestamps with user names
  • Each action item status transition
  • Phase-in date overrides with reasons
  • BOM effectivity changes applied at close
