Notifications & follow-up
The three notification triggers
Section titled “The three notification triggers”Redline has three automated notification triggers. Nothing else is sent automatically in the current version.
| ID | Trigger | Recipients | Purpose |
|---|---|---|---|
| N1 | ECO status changes to Released | All action owners across all departments | Inform and assign — “you have an action” |
| N2 | Action remains Open 48 hours after N1 | Action owner only | Reminder — “you haven’t acknowledged yet” |
| N3 | Due date passes with action not Done | Action owner + engineering manager | Escalation — “this is overdue” |
What the N1 email contains
Section titled “What the N1 email contains”The ECO published email is designed to be fully actionable without logging in to Redline:
- ECO reference, title, and phase-in date — always above the fold
- Affected items table — filtered to items relevant to the recipient’s department only
- Numbered action list — one line per action with verb, ERP reference, quantity, and due date
- Response buttons — Acknowledge, Mark as In Progress, Open Redline
Each response button calls a secure signed endpoint. Clicking it updates the action status in Redline without requiring the recipient to log in.
How response buttons work
Section titled “How response buttons work”| Recipient clicks | Action status becomes | Next trigger |
|---|---|---|
| Acknowledge | Open → Acknowledged | 48h reminder clock resets |
| Mark as In Progress | Open → In Progress | No trigger until due date |
| (no response after 48h) | Remains Open | N2 reminder sent |
| (due date passes, not Done) | Any non-Done | N3 escalation sent |
Escalation path
Section titled “Escalation path”| Level | When | Recipients |
|---|---|---|
| Level 1 — Day 0 | ECO released | Action owner only |
| Level 2 — Day 2 (configurable) | Action still Open or Acknowledged and overdue | Owner + department manager |
| Level 3 — Day 5 (configurable) | Action still not Done | Owner + department manager + engineering manager |
The escalation thresholds (days for L2 and L3) are configurable per tenant in Settings → Notifications.
